The key to any office move is the office move plan. The major goal in an office move is to be as time-efficient and as cost-efficient as possible.
To increase efficiency you need to:
- Have an idea of how your new location will look.
- Know the dimensions.
- Create a floor plan.
Map out exactly where the furniture and equipment will be placed and where your workers will be stationed
After you have created your map, place a copy of it at the entrance of your office and on every floor. It may seem to be a tedious task, especially if you’re moving into multiple floors, high up, but this will save you a considerable amount of time, money and headaches in the long run. Such organization will keep your workers happier and more productive if they are able to resume business as usual.
Communicate with your office movers
Inform all parties-employees, landlords, and movers; of every detail of the office move plan. It is important that you don’t keep them in the dark. Be sure to diplomatically notify your office movers of where each piece of furniture needs to be placed.
It may be a good idea to place color-coded labels on each piece that needs to be moved. The labels could serve as a sign as to where each object belongs. Labeling is a key part of moving offices that is often overlooked. Be sure to label all equipment and furniture that is being moved. The label should be placed prominently on the package and should immediately and easily inform the office movers of exactly where the package is to be moved.
The contents of desks, bookcases, shelving units, and lateral systems should be removed and packed separately. The contents of pull drawer filing cabinets generally should not be emptied. They should remain in their location (check with your mover), but be kept secure just by locking them.
As technology develops and changes at increasingly rapid rates, the process for moving certain devices becomes more intricate. Certain technological devices may require special attention. If you are renting your equipment, be sure to notify your supplier. Failure to do so may result in a nullification of your rental agreement. For items such as Computers, disconnection and dismantling services may be required; for items such as Photocopiers, you must empty all liquids and remove extensions that may jut out and create difficulties; and for items such as Vending Machines, you must empty all items.
In order to facilitate the move for all parties involved be sure to dispose of as much garbage as possible. If your company is fairly large, than you may need to receive permission from local authorities to place big waste containers on the site.
Inspect the new space beforehand and insure the elevators are fully functional, and that your movers will have access to all the floors that they need.
